Refund Policy

1. Overview

At Rhythoria Studios, we are committed to delivering exceptional music production, sound design, and audio services that meet the highest professional standards. We understand that every client relationship is built on trust and transparency, which is why we have established this comprehensive Refund Policy to clearly outline the terms and conditions under which refunds may be considered, processed, or declined.

Due to the custom nature of our creative services, each project involves significant investment of time, creative labor, specialized expertise, and production resources that cannot be reclaimed once committed. Our refund policy is designed to be fair to both parties while protecting the substantial creative investment that goes into every project we undertake.

This Refund Policy applies to all services provided by Rhythoria Studios, including but not limited to original music composition, sound design, jingle creation, audio branding, audio editing and processing, and music production consulting. By engaging our services and agreeing to a project scope, you acknowledge and accept the terms outlined in this policy.

2. Deposit and Initial Payment

All projects require an initial deposit before production work begins. This deposit serves multiple critical functions in our production process:

  • Secures dedicated production time and scheduling priority for your project
  • Covers initial creative development, research, reference analysis, and sound direction work
  • Compensates for the opportunity cost of reserving studio resources and production capacity
  • Funds preliminary composition sketches, sound palette development, and concept creation
  • Enables the procurement of any project-specific tools, samples, or resources needed for production

The initial deposit is non-refundable under all circumstances. This policy applies regardless of the reason for cancellation, including but not limited to changes in business direction, budget reallocation, or personal preference. The deposit represents compensation for the creative and administrative work invested in project initiation and is earned upon receipt.

The standard deposit amount is 50% of the total agreed project fee, unless a different arrangement has been specified in your individual project agreement. For projects exceeding $8,000 USD, alternative payment milestone structures may be arranged during the scoping process.

3. Cancellation by Client Before Production Begins

If you wish to cancel your project after the deposit has been paid but before active production work has commenced, the following terms apply:

  • The initial deposit is retained by Rhythoria Studios as compensation for scheduling, planning, and preparation
  • No additional fees will be charged beyond the initial deposit
  • Any preliminary creative direction documents, mood boards, or reference analyses completed during the planning phase remain the property of Rhythoria Studios
  • Cancellation must be communicated in writing via email to our official business address

We define "before production begins" as the period between deposit payment and the commencement of active composition, sound design, or audio processing work. Once our production team begins creating musical elements, sound design assets, or processing your audio, the project is considered to be in active production regardless of how much work has been completed.

4. Cancellation During Active Production

If you wish to cancel your project after active production has begun, the following terms apply:

  • The initial deposit remains non-refundable
  • You are responsible for payment covering all work completed to the point of cancellation
  • Work completed is calculated based on the percentage of the project scope that has been fulfilled, as determined by our production team
  • Any completed draft materials, work-in-progress files, or partial deliverables may be provided to you at our discretion, subject to full payment for work completed
  • If the work completed to date exceeds the deposit amount, an additional invoice will be issued for the difference

We will provide a detailed breakdown of work completed and associated costs within five (5) business days of receiving your cancellation notice. This breakdown will include hours invested, production milestones achieved, and any third-party costs incurred on behalf of the project.

5. Cancellation After Delivery of Draft Work

Once draft deliverables have been presented for your review, the full project fee becomes due regardless of whether you choose to proceed with the revision phase. This is because:

  • The primary creative production work has been completed in full
  • Significant production hours, creative expertise, and studio resources have been invested
  • The deliverables represent a complete creative output based on the agreed project scope and direction
  • Draft delivery demonstrates fulfillment of the core production commitment

We strongly encourage clients to utilize the revision rounds included in their project agreement to refine the deliverables to their satisfaction rather than cancelling at this stage. Our revision process is designed to address any adjustments needed to achieve the desired final result.

6. Refund Eligibility Exceptions

While our general policy reflects the non-refundable nature of custom creative work, we recognize that exceptional circumstances may arise. Refund consideration may be granted in the following limited situations:

6.1 Service Non-Delivery

If Rhythoria Studios fails to deliver any work or communication within 30 days of the agreed production start date without providing reasonable explanation or updated timeline, you may be eligible for a full or partial refund of payments made. This does not apply to delays caused by client-side factors such as delayed feedback, missing materials, or scope changes.

6.2 Material Breach of Agreement

If Rhythoria Studios materially breaches the terms of the project agreement in a way that fundamentally prevents delivery of the agreed services, a refund may be considered. The determination of material breach will be assessed on a case-by-case basis.

6.3 Mutual Agreement

In certain circumstances, both parties may mutually agree to terminate a project and negotiate a fair refund amount. Such agreements must be documented in writing and signed by both parties.

Refund eligibility under any exception is determined at the sole discretion of Rhythoria Studios and will be evaluated on a case-by-case basis considering all relevant circumstances, including work completed, resources invested, and the specific nature of the situation.

7. Refund Processing

If a refund is approved under the exceptions outlined above, the following processing procedures apply:

  • Approved refunds will be processed within 14 business days of the refund approval decision
  • Refunds will be issued through the same payment method used for the original transaction whenever possible
  • If the original payment method is no longer available, an alternative refund method will be arranged
  • Any applicable processing fees, transaction charges, or currency conversion costs incurred during the original payment may be deducted from the refund amount
  • A written confirmation of the refund amount, processing timeline, and method will be provided

8. Dissatisfaction with Deliverables

We take client satisfaction extremely seriously and have designed our production process to minimize the risk of dissatisfaction. However, if you are not satisfied with the delivered work, we strongly encourage the following approach before considering cancellation:

  • Utilize all revision rounds included in your project agreement to address specific concerns
  • Provide detailed, actionable feedback describing exactly what adjustments would improve the deliverables
  • Reference specific elements, sections, or qualities that need modification
  • Schedule a revision consultation call with our production team to discuss your feedback in detail

Dissatisfaction with the creative direction or subjective artistic preferences does not constitute grounds for a refund if the deliverables meet the specifications and direction outlined in the agreed project scope. Our revision process exists precisely to address and resolve such concerns collaboratively.

If after exhausting all included revision rounds you remain unsatisfied, additional revision rounds may be purchased, or we can discuss alternative creative approaches. Our goal is always to arrive at a result that meets your expectations and serves your project effectively.

9. Scope Changes and Additional Work

Requests that fall outside the originally agreed project scope are not covered by this refund policy and are subject to separate pricing and terms. Scope changes include but are not limited to:

  • Significant changes to the creative direction after production has begun
  • Addition of new deliverables not included in the original scope
  • Changes to the intended platform, format, or technical specifications
  • Requests for additional versions, adaptations, or variations of delivered work
  • Extension of project duration beyond the originally agreed timeline

All scope changes will be documented, priced, and approved by both parties before additional work commences. Payments for scope changes are subject to the same refund terms as the original project.

10. Consulting Services

Music production consulting sessions, sound direction strategy meetings, and creative advisory services are non-refundable once the session has been conducted. This applies regardless of the perceived outcome or value of the consultation.

If you need to reschedule a consulting session, please provide at least 48 hours advance notice. Sessions cancelled with less than 48 hours notice will be considered delivered and are not eligible for refund or rescheduling.

11. Dispute Resolution

If you believe you are entitled to a refund that has not been granted, or if you disagree with our assessment of your refund eligibility, we encourage you to follow this dispute resolution process:

  • Submit a detailed written explanation of your dispute to our email address
  • Include all relevant documentation, project references, and correspondence
  • Allow 10 business days for our management team to review your dispute
  • We will respond with a written decision including our reasoning and any proposed resolution
  • If the dispute remains unresolved, both parties agree to seek resolution through mediation before pursuing any legal action

We are committed to resolving all disputes in good faith and in a manner that is fair and reasonable to both parties. Our priority is maintaining positive professional relationships while protecting the integrity of our business operations.

12. Policy Modifications

Rhythoria Studios reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. However, any modifications will not apply retroactively to projects that were already in progress or completed under the previous version of this policy.

We recommend reviewing this policy periodically, particularly before engaging our services for new projects. The version of the Refund Policy in effect at the time of your project agreement will govern the refund terms for that specific engagement.
